Job Duties & Responsibilities: Project Manager
Preparing Project Specifications
- Prepare project spec sheet based on Exhibit B Template
- Use the Client’s questionnaire to help develop accurate project estimating specifications
- Include Client photo or reference photos in Exhibit B as needed for additional clarification
- Review Project Bid Plans with Exhibit B spec sheet and make sure everything they are coordinated
Project Estimating Assistance
- Vendor and Subcontractor Pricing Negotiations
- Create a project estimate in Ressio (Project Management Software)
- Send out bid plans with Exhibit B spec sheet to all subcontractors that are bidding on the project: Include Timeline
- Set a timeline to receive bids back
- Push subcontractors to get bids back in a timely manners
- make calls, email, or find additional subcontractors to bid when needed (aka “Never Give Up”)
- Track and Review subcontractor’s bids and compare their bids to what was called out on the Exhibit B spec sheet
- Input bids into estimate (Ressio)
- Perform any estimates or takeoffs in Bluebeam or Excel as needed
- Certain items on the project may require self-performed takeoffs versus obtaining an actual bid
Project Scheduling and Ressio Logs
- Create and manage project timelines and schedules in Ressio
- Modify Schedule at weekly construction meeting
- Create weekly Ressio logs for client progress updates
Project Preparation
- Permitting
- Document Management
- Saving documents for jobsite supervisor use
- Confirming document coordination
- Between Architectural, Structural and Civil
Construction Meetings: Subcontractors, Vendors, Architects, Engineers and Jobsite Superintendents
- Schedule review meetings with subcontractors, vendors and jobsite supervisors

On Site Roles
- Bi-Weekly jobsite visits to confirm with jobsite superintendents
- On time work is being completed
- Quality standards are being met
- Jobsite cleanliness standards are exceeded
Project Budget Management
- Discuss project costs, changes in scope, change orders, and financials with clients
- Categorize invoices according to cost code in adaptive
- Review project invoices and confirm they are in line with approved scope of work
- Discuss overages and negotiate invoices as needed with trades/vendors
- Issue Change Orders as needed
- Modify the estimate/budget to reflect accurate cost coding
Material Verification and Procurement
- Vendor and Subcontractor Pricing Negotiations
- Material Ordering
- Order products once selections are approved in Ressio by the clients
- Obtain order confirmations from vendors/subs on selections as needed
- Confirm orders via Purchase Order in Ressio
- Order products once selections are approved in Ressio by the clients
Jobsite Superintendent Coordination
- Coordinate pertinent deliveries in conjunction with the Jobsite Supervisor
- Meet with subcontractors/vendors on-site as needed in place of Jobsite Supervisors
- Manage subcontractor’s job scope per project based on plans and contract specs
- Remind subs to clean up and lead by example
- Confirm Quality Control
- Meet and exceed all quality requirements

- Move equipment, trailers, and material on site as necessary

- Give the client a post-construction binder that includes the following:
- All updated and necessary product manuals that were used on that project
- Epic Home’s Warranty information
- Homeowner’s Maintenance information
- Warranty Coordination with JSS
- Clients, Subs, Vendors and Interior Designers
Project Close-Out
- Confirm Punchlist Process is being completed by jobsite superintendent
- Track items that will need to be completed at a later date
- Installing an A/C in the spring when the project wraps up during winter months
Warranty
- Coordinate and schedule any warranty items for finished projects with jobsite superintendent
Other Responsibilities
- Site Safety Oversight
- Find and vet new reputable subcontractors as needed
- Take part in marketing events with Epic Homes as needed: Such as the Parade of Homes or Home & Garden Show
- Responsible for managing your company credit card receipts and turning them in weekly
